Refund & Cancellation Policy

💰 01. Success-Fee Non-Refundability
Because ApproveIt operates on a pure contingency model ('No Win, No Fee'), our 15% success fee (or 12% for clinics, 8-10% for hospitals) is only charged AFTER an insurance claim has been officially overturned and approved by your insurer. Once an approval letter has been issued or an electronic approval confirmation has been received from the payer, the service is deemed fully rendered, and the success fee is strictly non-refundable.
🔍 02. 14-Day Over-Charge & Mismatch Disputes
If you believe the success fee debited by Paddle exceeds the actual approved amount on your insurer's final Explanation of Benefits (EOB), you have fourteen (14) calendar days from the transaction date to open a dispute. To dispute a fee, you must upload the official EOB or insurer payment stub showing the lower approved amount to support@approvelt.com. If verified, ApproveIt will issue a partial refund for the difference via Paddle within 5 business days.
📄 03. Upfront Filing Fees (Claims under $2,000)
For small claims valued under $2,000, ApproveIt charges a flat $9 or $29 upfront administrative filing fee. This fee is used to immediately offset OCR data ingestion, API compute costs for clinical logic synthesis, and electronic transmission. Once the AI has successfully generated your appeal package, this administrative fee is 100% non-refundable, regardless of whether the insurer ultimately approves or denies the appeal.
🚫 04. Case Cancellation Policy
You may cancel an active appeal case at any time prior to its electronic submission to your insurer. To cancel, click 'Deactivate Case' in your patient dashboard. Once a case is canceled, all related medical documents will be scrubbed from our storage servers within 24 hours. If an appeal letter has already been submitted to the insurer before you request cancellation, and that appeal subsequently results in a claim approval, you remain legally bound to pay the contingency success fee.
⚖️ 05. Chargeback Abuse & Collections Escalation
Initiating a credit card or bank chargeback for a successfully recovered claim and approved insurance payout constitutes a direct breach of our signed contingency agreement. In such events, ApproveIt reserves the right to compile your signed terms, IP address logs, generated clinical briefs, and the insurer's approval record to dispute the chargeback. Unresolved balances will be referred to third-party collection agencies and reported to national credit bureaus.
💡 Nepal Wise Settlement Notice: All international transactions are processed securely through Paddle as our Merchant of Record. Refunds will land directly back on the card or bank account used at checkout. For direct billing inquiries, contact us at support@approvelt.com.
